The Pooled fund on International Energy (PIE) is an international grant making and strategy platform, hosted by ECF (European Climate Foundation) with a mission to drive a just global transition from coal in power and industry toward clean electrification.
We work with charitable foundations and regional climate foundations to support a diverse set of research institutions, think tanks and civil society organisations working with governments, business and other parts of society all over the world. We aim to back local organisations and international partners to overcome the barriers to clean energy and steel.
PIE was formed in 2013 and is hosted at the ECF. PIE is comprised of a small and dedicated international team of exceptional people based around the world. The Grants Officer is part of the Grants Management team and reports to the Head of Grants. The role supports various PIE programme teams with strategic grant-making and oversees grant activities throughout the full grant cycle. It ensures consistent application of grant management policies and internal processes, working closely with the Programme Teams, Grantee Partners, and ECF Teams including Legal, Risk, Finance and Operations.

Provide the end-to-end grant lifecycle to support the team

Collect and generate grant requests and ensure all information is provided and complete

Assist in reviewing narrative and budget proposals to ensure all information is complete and aligned with our funding guidelines

Provide clear and consistent guidance to Grantee partners throughout the grant life cycle.

Prepare docket submissions to the Steering Committee and Internal Review meetings.

Guide PIE programme Leads through the grant-making processes by highlighting deadlines, helping them navigate SharePoint and ensuring access to key collaborative documents and operational resources.

Follow up on grantees/consultant's contract changes requests with the legal team

Handle more complex or high-value grants

Main contact person at the Grants team to support the risk assessment

Assist in maintaining and updating the grant management system, including implementing changes and supporting system-related processes.

Being actively involved in PIE Transition by reviewing and proposing process improvements, and testing the new system

At least 5years' experience in grant making, preferably in philanthropy or nonprofit environments

Bachelor's or master's degree in business administration, economics, data/statistics, or another relevant area

Proven experience with grant management systems

Demonstrated ability to deliver high-quality work under tight deadlines and manage competing priorities

Excellent command of English (written and verbal); additional languages are an asset

Strong collaboration skills, with the ability to work effectively across teams and functions.

Comfortable balancing rigour and practicality, with a problem-solving mindset

Advanced computer literacy, particularly in MS Office (strong excel skills required)

High attention to detail and strong organisational skills

Clear and adaptable communicator, able to engage with diverse stakeholders across cultures
