Your New Role – Challenging and Future-Oriented:
As a Payroll Specialist, you will be responsible for a diverse range of tasks, ensuring compliance, accuracy, and excellent service delivery. You will work within an open and collaborative team culture, where your expertise and proactive approach will be highly valued.
Key Responsibilities:
- End-to-End Payroll Processing & Execution:
- Execute accurate and timely end-to-end payroll processing for assigned employee groups ensuring strict compliance with company policies, collective agreements (e.g. PC 209/PC 200), and relevant statutory regulations (e.g. tax, social security, labour laws in Belgium and potentially Luxemburg).
- Coordinate the collection, validation, and processing of all necessary payroll inputs, including new hires, terminations, salary changes, bonuses, and deductions, collaborating effectively with internal teams and external partners.
- Manage administrative tasks related to payroll, working in conjunction with our team in Portugal.
- Conduct company-specific payroll configurations and analyses for various business cases, such as mergers, acquisitions, integrations, or system implementations. You will be prepared to lead such projects from a user perspective.
- Employee & Stakeholder Support:
- Serve as a primary point of contact for employees and managers, responding to inquiries related to payroll, benefits and other compensation-related matters with professionalism and empathy.
- Advise managers and/or employees on complex payroll-related matters, policies, and procedures for assigned organization(s), ensuring clear communication and understanding. This includes managing specific employee situations in consultation with HRBPs.
- Collaborate closely with P&O & IT colleagues to ensure integration requirements are properly communicated, tested, and implemented for payroll systems and related interfaces, utilizing ticketing systems effectively.
- Continuous Improvement & Project Involvement:
- Proactively identify opportunities to streamline and improve payroll processes, enhance efficiency, and leverage technology to optimize operations.
- Be prepared to work within a changing environment, demonstrating maturity and adaptability.
- Contribute to and potentially lead projects such as the implementation of new systems.
What You Bring to the Team:
- Experience: Minimum of 5+ years of broad payroll experience, preferably gained within a large organization or from a payroll service provider.
- Adaptability: Ability to handle a variety of tasks and manage unexpected situations that may arise.
- Analytical & IT Savvy: Strong analytical skills, ability to work with IT ticketing systems and proficiency in MS Excel (formulas & pivot tables).
- Customer Service Attitude: A strong customer-centric approach with excellent communication skills for interacting with internal clients and employees.
- Language Skills:
- Fluent in one of the national languages (French or Dutch) with a good working knowledge of the other.
- English is a must for international projects and communication.
- Experience/Knowledge in any of the following is an advantage:
- Experience with tools like Workday, SAP and ServiceNow.
- Experience with system changes and implementations.
- Knowledge of social security in Luxemburg.
- Education: Bachelor's degree or equivalent by experience.
