Junior Project Manager – European Scientific Project
(CPMS, Digital Platforms and Education)
For a one-year fixed-term contract renewable full-time
Context :

The Hôpital Universitaire de Bruxelles (H.U.B.)- Hôpital Erasme is highly specialized in rare haematological disorders (RHD) on a regional, national and international level. In 2017, it was awarded as a European Reference Network (ERN) coordinator of the ERN-EuroBloodNet (www.eurobloodnet.eu) on rare Haematological diseases. ERNs are networks involving healthcare providers across Europe and have been launched and are supported by the European Commission. They aim to tackle complex or rare diseases and conditions that require highly specialized treatments and concentrated knowledge and resources: https://ec.europa.eu/health/ern_en
The ERN-Eurobloodnet project co-leader, Pr Gulbis is also the representative of the reference centre the H.U.B. and the Brussels University Laboratory (LHUB-ULB) of the Université Libre de Bruxelles in Belgium. Within the ERN, Prof. Gulbis is leading the Work Package 4 on “Healthcare and CPMS” and WP6 on “Training and Education”.
The workplace will be located at Institut Jules Bordet, Campus Erasme – 1070 Brussels. Remote work possible.
In this context, the department is looking for a Junior Project Manager who will contribute to the coordination, implementation and follow-up of projects related to CPMS (Clinical Patient Management System), digital collaboration tools, and educational activities. A significant part of the position will focus on CPMS-related activities, platform support, user guidance and continuous improvement of tools and processes. The person will work in close collaboration with the Senior Project Managers already in place and progressively take ownership of selected workstreams, ensuring high-quality delivery, stakeholder coordination, monitoring of KPIs, and timely preparation of reports and deliverables.

Essential missions :
1. Virtual Clinic platform for Health Professionals (CPMS) and digital collaboration
Oversee the functional implementation and follow-up of CPMS-related activities and associated digital collaboration tools within the network.
Provide first-line functional support to CPMS users, answer operational questions, troubleshoot issues, guide healthcare professionals in the use of the platform, and ensure appropriate follow-up of incidents or recurrent user needs.
Monitor platform activity, user engagement, recurrent issues, bottlenecks and performance indicators, and propose improvements to workflows, user guidance, support materials and related processes.
Oversee virtual case discussions and expert interactions by preparing documentation, monitoring timelines, following panel feedback, and ensuring smooth and traceable circulation of information.
Maintain, update and improve CPMS-related documentation, user guides, training materials and online resources.
Oversee testing, validation and rollout of updates, changes or improvements affecting CPMS-related workflows, tools or support materials, in coordination with relevant stakeholders.
You will be in charge of KPI monitoring and drafting reports and deliverables related to CPMS.
2. Educational activities
Manage the e-learning platform on a day-to-day basis, including content integration, updates, quality checks, monitoring of usage data, and continuous improvement proposals.
Organise webinars and online educational sessions: prepare calls, liaise with speakers, follow agendas and timelines, moderate when needed, ensure recordings, and coordinate the publication of the sessions and related materials.
Participate in the organisation of on-site training activities such as preceptorships, including coordination with speakers, participants, logistics, documentation and follow-up.
Monitor KPIs and coordinate the drafting of reports and deliverables related to the educational program.
3. Project management and cross-functional support
In collaboration with Senior Project Managers, ensure the follow-up of project milestones, deadlines, action plans and deliverables across the assigned workstreams.
Coordinate work planning, meeting follow-up, stakeholder coordination and reporting.
Identify operational risks, delays or bottlenecks and escalate them when relevant, while proposing pragmatic solutions to support project continuity.
Coordinate the preparation of internal reporting documents, European project deliverables, presentations, meeting notes and monitoring tools.
Collaborate closely with the different Senior Project Managers in place in the team and be progressively in charge of several project areas depending on priorities, with a strong focus on CPMS and digital support activities.
Take part in internal and external meetings related to the projects.
Coordinate dissemination and operational follow-up when needed.
Coordinate administrative and organisational support linked to project implementation, including coordination of practical arrangements, documentation, tracking tables, follow-up actions, and budget-related follow-up when needed.
Profile :
Hold a Master’s degree recognised by the Wallonia-Brussels Federation in public health, health sciences, human sciences, project management, information systems, digital technologies, health informatics, applied IT, or another relevant field aligned with the missions of the position.
Candidates holding a diploma not issued by the Wallonia-Brussels Federation or the Flemish Community must obtain an equivalence from the FWB.
Previous experience in project coordination and project management is appreciated.
Experience with digital platforms, user support, functional support, troubleshooting, online tools administration, or coordination of digital workflows is a strong asset.
Experience with educational activities, e-learning environments, digital tools, or stakeholder management is appreciated.
Experience with virtual collaboration tools, platform support, or interaction with technical and functional stakeholders is a strong asset.

General and job-specific knowledge and skills:
English proficiency is required (minimum C1 spoken and written).
French proficiency is required or strongly appreciated.
Strong project coordination and organisational skills, with the ability to manage several workstreams in parallel.
Ability to work in a structured way, follow deadlines and ensure high-quality follow-up of actions and deliverables.
Good command of digital tools, collaborative platforms and online environments; experience with learning management systems, content management tools, user support workflows, ticket follow-up, testing, documentation or platform administration is appreciated.
Experience with KPI monitoring, reporting and synthesis of information is appreciated.
Understanding European projects and multi-stakeholder environments is an asset.
Ability to translate user needs into practical solutions, identify recurrent technical or functional issues, and contribute to continuous improvement of digital processes is an asset.
