We are looking for an Operations Coordinator to join our RecyClass Team focused on supporting the administrative coordination of certification activities, internal operations, and the membership lifecycle process within RecyClass.
Role
- Coordinate essential back-office and operational tasks to ensure smooth functioning of certification activities.
- Lead communication with recognised Certification Bodies to ensure smooth ongoing collaborations and related training.
- Coordinate the management of documents, lists of participants and contract handling with certification bodies and members.
- Coordinate the membership database throughout its lifecycle and lead member relations through support activities.
- Streamline and improve administrative processes through documentation, structure, and automation where possible.
Tasks & Responsibilities
- Coordinate and maintain certification repository, and databases of documents and auditors though an internal tool.
- Handle contracts and documentation with recognised Certification Bodies, auditors and members.
- Manage the full membership lifecycle and maintain an updated database of members in CRM/membership database.
- Support member acquisition activities.
- Coordinate the handling of cases related to misuse of the RecyClass certification mark and false certificates.
- Support financial reporting activities and budget tracking.
- Assist in planning, scheduling and logistics for meetings, training, and workshops.
- Continuously improving day-to-day office operations, procedures and supplier relationships.
Qualifications
- Professional training or equivalent experience in administration or related field.
- Minimum 5 years of relevant administrative, operations or coordination experience.
- Experience working in a trade association, non-profit or Brussels-based EU affairs organization is a strong asset.
- Familiarity with the plastics sector, recycling or certification industry is an asset, but not required.
Skills
- Fluent in English; both written and spoken; other European languages are an asset.
- Excellent organizational and time management abilities.
- Proficient in MS Office software package; experience with CRM tools or membership management platforms is a plus.
- Excellent organizational and time management abilities, with the ability to manage multiple workstreams simultaneously.
- Proactive and self-directed, with the ability to work independently in a small, fast-moving team.
- Detail-oriented, reliable, and comfortable dealing with a diverse range of stakeholders.
- Critical mindset: ability to evaluate existing processes and propose structured improvements.
