Job Description

The sales coordinator in the commercial Benelux sales team is supportive and accountable for realizing the strategic and operational commercial goals in collaboration with KAM’s and Sales Managers in the Benelux. The sales coordinator has an essential role in internal cross-functional collaboration representing the sales departments and cross-departmental supportive role in a sporadic manner.

In this role you combine organizational skills, with a commercial mindset and sales focused insights. All within the quality and compliance requirements, and internal and external customer focus. Located in the Breda or Mechelen office this role is supportive in general office related tasks. The Sales coordinator has Benelux sales departmental responsibility and reports to the Sales Manager Netherlands.

Responsibilities:

1 Operational & Administrative efficacy

Mailbox management on assigned boxes for joint sales departmental needs
- Current: Own mailbox and Transparency mailbox
Core user in Vinci CRM / Supportive in Vinci CRM meeting module input if needed
Sales team onboarding, supportive in departmental transcending onboarding
Conclude and align timely on sales related incoming phone/letters/mails

2 Contract management

Template management Benelux
Transfer of Value (ToV) related contract from Vinci entries
Support “sign & save” third party contracts (like IQVIA) if initiated by sales department
Create purchase orders, tracking payments
SOP ToV up to date/adapt on legal and compliant demands

3 Support sales teams Benelux

Broad generic support for KAMs and Sales Manager
Organization of internal sales team meetings NL and Belux (incl. external location)
Follow-up on actions deriving from these meetings
Cycle meeting support / member cycle committee
Incoming sponsorships distributed to responsible stakeholders
Training/ onboarding/ start-up meetings in Vinci CRM meeting module
Support in booking/ planning and financial settlement external locations
Budget trackers (in development)
Management of internal and external activity overview including support if needed on logistics (materials/ stands etc)
Per turn a member of cycle meeting organizing core team
Supportive in organizing and planning external training for sales team members
First point of contact HCP’s/speakers/trainers
Support marketing/ head of sales with planning sales attendees on congresses

4 Compliance & Quality assurance

First internal contact on compliance and quality Vinci meeting module
ToV/ Transparency quarterly updates
Processing cross-border transactions
Data upload for publication transparency portals NL, Be and internal website
CGR, Mdeon and Studio Pharma /RIP contact and expert function
On time support on documentation meeting interactions with HCP’s/ HCO’s
CyberGrants requests/ compliance checklist in line with internal and external guidelines
SOPs/PD responsibility

5 Communication & Collaboration

(Sporadically) taking minutes for efficacy reasons

Share (sales/financial) reporting. Uploading twice a week
Implement and discuss improvements in processes where necessary

7 Office management

Collaborative for office management daily tasks, groceries , kitchen, post, office supplies etc

Profiles Requirements:

Education :Office Management; Pharmaceutical Management ; Commercial business assistant

Experience:

Prior (Pharmaceutical or Biotech industry = preferred) sales assistance experience
Excel/ Power point/ Teams/ DocuSign
CRM (Vinci preferred)
Contract management
Excellent interpersonal and communication skills
Demonstrated strong organisational skills
Demonstrated innovative thinking
Ability to work independently & be self-motivating
Dutch and English fluency
