The Position
We are now looking to strengthen our team with a Admin & Office Assistant, where you’ll be the heart of our office—ensuring smooth daily operations while also supporting HR and employee engagement initiatives. This role is perfect for you if you like a varied and hands-on role where your organizational skills and people-first mindset will truly shine. You will be part of a larger HR team based both in Belguim & Sweden.
Your Responsibilities
In this role, you’ll combine two key areas of responsibility — Office & Administrative Support and HR Administrative Support — playing a central part in creating a smooth, welcoming, and well-functioning workplace at our Brussels office.
Office & Administrative Support:
- First point of contact for internal office-related questions
- Welcome and assist visitors, ensuring a professional and friendly reception
- Organise and support internal meetings and events (logistics, catering, materials).
- Office management from A to Z: manage office supplies, facility coordination, maintain filing systems and general office upkeep
- Creating & follow-up PR requests for HR/Admin/IT team & do the necessary approval of invoices in SAP
HR Administrative Support:
- Track and report on office attendance and absences.
- Maintain and update internal communication boards and HR-related postings.
- Support the administration of the company car fleet (documentation, follow-up).
- Assist with onboarding logistics and documentation for new employees.
- Help coordinate HR events, training sessions, and employee engagement activities
- Contribute ideas and support initiatives that foster a positive and inclusive workplace culture.
Your Profile
- 2-3 years in an administrative or office support role
- Strong organizational skills and attention to detail
- Able to prioritise multiple tasks in your daily work
- Excellent communication skills in Dutch & English (spoken & written)
- Pro-active, solution oriented and able to work both independently and as part of a team
- A high level of discretion and professionalism when handling sensitive or confidential information.
- Bachelor degree in relevant field ( HR/Ofice management) or equivalent through experience
