About the job: mission & key responsibilities
This internship provides hands-on experience in comprehensive project management, enabling the intern to develop essential skills in coordination, organization, and project oversight through all phases of event delivery. The key tasks are as follows:
Pre-Event Phase
Act as the point of contact for speakers (moderators, observers, experts, facilitators) and selected service providers, addressing inquiries and providing essential information
Draft detailed session outlines and agendas as required
Contribute to the preparation of narrative proposals and concept notes
Event Execution Phase
Welcome and orient speakers in both physical and virtual meeting environments
Conduct pre-session technical and content reviews with speakers and organizers
Provide real-time assistance during sessions, including timekeeping and coordination with technical teams
Post-Event Phase
Prepare comprehensive session reports highlighting key outcomes and improvement recommendations
Maintain communication with speakers and service providers for feedback and future collaboration
Contribute to project reporting alongside project managers.
About the profile: qualification and skills – Do you fit the role?
Ongoing bachelor’s or master’s degree in a relevant field such as Communication, Event Management, Political Science, European Studies, Business Administration, or other related disciplines
At least C1 level in English (working language); French or Dutch is a plus
Strong organisational skills and attention to detail
Proactive and solution-oriented mindset, with the ability to adapt to changing priorities
Good written and verbal communication skills, including the ability to write clear emails and summaries, and communicate with multiple stakeholders
Comfortable using the Microsoft Office suite (especially Outlook, Word, Excel, PowerPoint)
Sensitivity to working in multicultural and European environments
Genuine interest in project coordination and event management
