We are currently seeking to recruit a
Trainee in Events & Logistics – Project Management Team
to join a 6-months traineeship program to enhance our Project Management Team in Belgium.

To support our growing portfolio of EU-funded assignments, we are seeking an organised and proactive Trainee in Events & Logistics to help deliver large and small events, missions, workshops and meetings in Belgium, across Europe and internationally.
Your role
You will support the practical implementation of EU-funded projects, with a strong focus on event organisation, supplier coordination, participant logistics, travel arrangements and on-site delivery. Working alongside Project Managers and event teams, you will help ensure that conferences, workshops, study visits, expert missions and project meetings are organised smoothly, professionally and on time.
Responsibilities
In Event Management & Logistics:
Support the organisation and implementation of large and small EU-related events, including conferences, workshops, seminars, study visits, expert missions and professional meetings.
Coordinate practical logistics, including venues, registrations, participant lists, travel, accommodation, transfers, catering, interpretation and event schedules.
Identify, contact and coordinate suppliers such as venues, caterers, interpreters, audiovisual providers, printers, transport companies and other service providers.
Prepare and maintain practical event documents such as logistical notes, participant lists, travel overviews, rooming lists, supplier follow-up tables and event checklists.
Work with travel agents to organise flights, train tickets, accommodation and related travel arrangements for experts, speakers, participants and project teams.
Provide on-site and remote operational support before, during and after events, helping to solve practical issues quickly and professionally.
In Project Implementation support:
Support the selection and coordination of suppliers by collecting quotations, comparing offers and preparing practical information for decision-making.
Liaise with travel agents and service providers to organise travel bookings, accommodation, transfers and logistical arrangements.
Maintain supplier lists, travel records, event budgets, contact databases and follow-up trackers.
Ensure that practical arrangements, documentation and internal records are complete, accurate and easy to retrieve.

You will be paid a fixed monthly allowance of 1117.09€/ months.
You will be granted 10 days of paid holidays.
8€ of meal vouchers for each working day.

Qualifications:
Academic background: BA or MA in Event Management, Logistics, Business Administration, International Relations, European Studies or another relevant field.
First relevant hands-on experience in event organisation, logistics, supplier coordination, travel arrangements or project implementation support, ideally within EU-funded projects. This experience may have been gained through internships, student jobs, volunteering or junior professional roles.
Demonstrated experience organising professional events, conferences, workshops or international meetings.
Experience working with suppliers, venues, travel agents, hotels, participants or event service providers is strongly preferred.
Experience working with multiple stakeholders and in an international or multicultural environment.
Excellent organisational skills and ability to manage several priorities and deadlines.
Strong attention to detail, reliability and a structured approach to work.
Proactive, practical and solution-oriented mindset.
Clear written and verbal communication skills.
Ability to work effectively both independently and as part of a multidisciplinary team.
Professional and service-oriented approach when dealing with clients, experts, partners and suppliers.
Languages: excellent written and spoken English and French. Knowledge of additional EU languages is an asset.
IT-skills: advanced use of MS Office.
Experience with event platforms, registration tools, databases or CRM tools is an advantage.
