The role
You will join a multidisciplinary team and work on a daily basis with all of the firm's lawyers. Your rigour and organisational skills make you a genuine pillar of the firm's smooth day-to-day running. As a key point of contact for our clients, you support them with professionalism and embody, from the very first interaction, the image of the firm.
Key Responsibilities
· Be the first point of contact for the firm: manage the front desk, answer calls and welcome visitors with professionalism and warmth;
· Format, convert and finalise documents to the highest standard, including printing, scanning and photocopying;
· Ensure accurate, reliable filing and archiving of information using the firm's document management system;
· Manage meetings in all their organisational and logistical aspects, working in close collaboration with the firm's lawyers;
· Coordinate courier services, ensuring documents are dispatched and received smoothly and on time;
· Keep the office running smoothly by managing and replenishing office supplies;
· Play an active role in client onboarding: assist with the opening of new matters, conflict-of-interest checks, and the preparation and sending of client engagement letters;
· Contribute to the firm's smooth financial operations by preparing, validating and issuing client invoices, and drafting billing correspondence on behalf of lawyers
· Provide general support across the office, stepping in wherever needed.
What we’re looking for ?
· Relevant experience in a similar role, ideally within a law firm or professional services environment;
· Excellent organisational, interpersonal and communication skills at all levels;
· Discreet, reliable and comfortable handling confidential information;
· Proficiency in Microsoft Office and ability to process documents quickly and accurately;
· Secondary school diploma required; a Bac+3 secretarial or equivalent degree is an asset;
· Excellent command of Dutch, French and English is essential;
· Comfortable with IT systems in general, with a genuine interest in learning new tools, is an asset.
