To support our growing organization in Ghent, we are looking for an Office Support Assistant who thrives in a hands-on position within a dynamic environment. In this role, you help ensure a smooth day-to-day operation of our office by combining administrative expertise, organizational skills, and a strong service-oriented mindset.
As an Office Support Assistant, you play a key role in creating a welcoming, efficient, and well-organized workplace environment. You act as a central point of contact for employees, visitors and external partners while coordinating a wide variety of administrative and office-related activities.
You are responsible for;
- Office & Administrative Support: You provide end-to-end administrative support across the Ghent organization. You manage shared office support mailboxes, coordinate internal and external meeting logistics, support travel arrangements, and assist employees with administrative requests and systems. You ensure that requests are handled accurately, professionally, and in a timely manner.
- Front Office & Visitor Management: You act as one of the first points of contact for visitors and external partners. You welcome guests, coordinate visitor access, manage incoming calls, and contribute to a professional and positive visitor experience.
- Event Coordination: You support the organization of internal and external meetings, leadership visits, team-building activities, employee events, and company initiatives. From coordinating vendors to arranging catering, venues, transportation, and promotional materials, you ensure everything runs smoothly from start to finish.
- Site Access & Employee Support: You coordinate site access requests, badge administration, parking registrations, shuttle requests, and other access-related activities. You ensure requests are processed according to company procedures and provide guidance to employees regarding administrative systems and processes.
- Office Operations & Facility Support: You manage office supplies, office and merchandising inventory, mail distribution, etc.
- A minimum of a bachelor's degree or equivalent through experience.
- A minimum of three years of experience in an administrative, office support, customer service, front office or similar support role.
- Experience in working in a professional corporate environment supporting multiple internal and external stakeholders.
- Experience with Microsoft Office applications including Outlook, Excel, Word and Teams.
- Experience in registering purchase orders and working with SAP and Concur are a strong asset.
- Fluency in Dutch and English (written and spoken) is required.
- You are highly organized and able to manage multiple priorities simultaneously, when last-minute changes occur you remain calm and solution-oriented.
- You are approachable, service minded and enjoy helping others.
- You have strong communication skills and feel comfortable interacting with stakeholders at all levels of the organization.
- You are proactive and enjoy taking ownership.
