Our client is looking for an IT Governance & SaaS Coordination Officer to support and improve the governance process around the introduction, approval, use and lifecycle of client software and cloud/SaaS solutions.
The role combines IT governance, stakeholder coordination, operational follow-up and process improvement. The consultant will act as a central coordination point between business users, IT, architects, procurement, information security, data protection and service teams to ensure that software and SaaS solutions are introduced in a controlled, compliant and efficient way.
This is not a pure project management role, nor a technical security role. The focus is on governance execution, coordination, documentation, follow-up and continuous improvement in a complex group environment.
will be responsible for supporting the end-to-end software and SaaS intake governance process. This includes ensuring that all required reviews and approvals are triggered before a new tool is used within the organization.
Main responsibilities include:
Govern the intake process for new client software and cloud/SaaS requests.
Ensure that no tool is introduced without the appropriate IT governance, security, procurement and compliance checks.
Act as the central point of contact for business users, project managers and product teams regarding software requests and governance processes.
Identify and involve the right stakeholders, including IT, architects, procurement, information security, data protection, service teams and business representatives.
Coordinate reviews, follow up on pending actions, chase stakeholders when needed and help unblock decision-making.
Check whether existing internal solutions can already answer business needs before new tools are purchased.
Maintain and improve governance documentation, mainly through Confluence or equivalent documentation platforms.
Maintain the software inventory/catalogue, including solution description, category, approval status and key metadata.
Support the improvement of the end-to-end governance model by reducing duplicated processes and centralizing information.
Help strengthen the collaboration with procurement to reduce shadow IT and ensure governance checks happen before purchase or contract award.
Support the integration of SaaS governance assessments into tendering and purchasing processes.
Contribute to better lifecycle follow-up of cloud/SaaS solutions, including scope changes, usage monitoring and decommissioning.
Improve communication and understanding of governance processes for business and product teams.
Identify inefficiencies, governance gaps and improvement opportunities.
Support a pragmatic governance approach: enabling business needs while ensuring compliance, control and transparency.
You have the following skills
Must-have
Experience in IT Governance, IT Service Management, IT coordination or a similar role.
Strong experience in stakeholder management and cross-team coordination.
Ability to coordinate and follow up with multiple stakeholders: IT, architects, procurement, information security, data protection, service teams and business.
Good understanding of software/SaaS intake, approval processes or IT governance workflows.
Strong ownership mindset: proactive, autonomous, structured and able to drive topics forward without waiting for instructions.
Comfortable working in complex, evolving and sometimes unclear environments.
Strong documentation skills, ideally with Confluence, SharePoint or similar tools.
Ability to translate IT governance, security or compliance topics into clear business communication.
Good understanding of compliance-related topics such as GDPR, DPA, vendor risk or security review processes.
Strong follow-up skills: able to chase stakeholders, unblock actions and ensure timely decisions.
English mandatory.
Nice-to-have
French, Dutch or German.
Experience in a large group, regulated environment or international organization.
Experience with SaaS lifecycle management.
Experience with procurement processes, vendor risk or tender integration.
Experience with AI governance, EU AI Act or AI-related assessments.
Knowledge of ITIL, incident management, RCA templates or knowledge management.
Experience with ServiceNow, Jira, Power Apps, Power BI, Excel, SharePoint or Ivanti.
Experience with software catalogues, SaaS inventories or software asset governance.
Knowledge of Microsoft workplace tools and ability to challenge whether existing tools can cover business needs.
Experience in GRC, audit, policies, standards, controls, KPIs or governance reporting.
